About this policy
Williams Pharmacy respects your privacy. This policy explains how we collect, use, hold and disclose personal and health information when you visit our pharmacy, contact us, use our website or request services. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Information we collect
Depending on the service, we collect information reasonably necessary for your care and requests, including your name, date of birth, address and contact details; prescription details, electronic prescription tokens and prescription images; medicines, allergies and relevant health information; Medicare or concession details where needed; bookings, relevant transaction information and communications; and details of an authorised representative where relevant.
We seek consent to collect health information unless collection without consent is permitted or required by law.
How we collect information
We usually collect information directly from you in person, by telephone, by email or through our website. Where appropriate and permitted by law, we may also receive information from prescribers, healthcare providers, authorised representatives and prescription or booking services.
You can make general enquiries without identifying yourself where practicable. If information necessary for a prescription or other service is not provided, we may be unable to provide that service.
How we use and share information
We use information to dispense medicines, provide pharmacy care, process requests, manage appointments, contact you about your care, process relevant payments and claims, maintain required records, respond to enquiries and complaints, and meet legal and professional obligations.
Where necessary and permitted by law, relevant information may be shared with healthcare providers involved in your care, authorised representatives, government agencies administering relevant health programs, and providers supporting our pharmacy systems. We limit disclosures to information needed for the purpose. Other uses and disclosures require consent unless otherwise permitted or required by law.
Our dispensing program connects with MedAdvisor for supported pharmacy services. This is separate from customers independently following an external booking link. The information transferred and purposes must be accurately described before publication.
Online prescription requests
Our online form lets you provide prescription details before visiting Williams Pharmacy. You can enter an electronic prescription token or upload an image of a paper prescription to save typing its details.
An uploaded image of a paper prescription is used to review and prepare your request. It does not replace the original paper prescription, which must be supplied before the medicine can be dispensed against that prescription.
Requests are sent to our pharmacy’s Google-hosted email account. Authorised pharmacy staff have access to this mailbox, and a pharmacist reviews prescription requests. Relevant information is entered into our dispensing program, which has backup arrangements. We may print the uploaded image to assist with processing and retain the original paper prescription once supplied.
We retain required prescription and dispensing records for the applicable legal periods. Duplicate emails and uploaded images are assessed for secure deletion once necessary information has been preserved and retention requirements have been met.
We will call or email you when your prescription is ready for collection. If you don't hear from us, please give us a call or pop into the store.
Please provide only relevant information. If submitting information for another person, you must be authorised to do so. If you prefer not to submit information online, call or visit the pharmacy to discuss another way to arrange your prescription.
External bookings and telehealth
Our website links to external booking services, including MedAdvisor for pharmacy services and HubMed for telehealth. When you independently provide information on another provider’s website, that provider’s privacy policy applies to its handling of the information.
Information Williams Pharmacy receives or discloses remains subject to the privacy obligations applying to our own handling of it.
Holding and protecting information
We hold information in paper and electronic records and take reasonable steps to protect it from misuse, interference, loss and unauthorised access, modification or disclosure. Staff must respect confidentiality and access information only as needed for their duties.
We retain information for applicable legal requirements and permitted purposes. When no longer needed and not required to be retained, we take reasonable steps to securely destroy or de-identify it.
We assess and respond to data breaches and notify affected individuals and relevant authorities where required by law.
